How do I send a message via a data box, and can I also send it to a company or a self-employed person?
The sending process is similar to writing an e-mail, but with the legal weight of a recorded-delivery letter. Today this method of communication between entrepreneurs is increasingly common when concluding contracts or handling complaints.
THE MESSAGE-SENDING PROCEDURE IN A NUTSHELL
- Finding the recipient: After logging in, choose "Compose message" and search for the recipient by name, Company ID (IČO) or IDDS (data box identifier).
- Subject and attachments: Fill in a relevant subject, and insert documents (contracts, invoices) as attachments, ideally in PDF format, which is the safest for official communication.
- Sending the message: After clicking "Send", the system generates a Delivery Receipt, which is your indisputable proof of what you sent, to whom and when.
COMMUNICATION WITH OTHER ENTREPRENEURS (COMPANIES AND THE SELF-EMPLOYED)
Yes, via a data box you can also communicate with suppliers, clients or competitors. This function is called a Postal Data Message (PDZ).
- Contractual relationships: Via a data box you can legally send contract terminations, reminders or acknowledgements of debt. You have proof that the message was delivered to the recipient's sphere of influence.
- Delivery condition: For a company or self-employed person to receive your message, they must have enabled the receipt of "Postal Data Messages" in their settings. In 2026, most companies have this function active, because it saves the cost of couriers and post.
ADVANTAGES OVER SENDING A MESSAGE BY E-MAIL
Unlike an e-mail, where the other party can claim it "went to spam", a data message has a clear audit trail. For contractual relationships it is the safest way to prevent future disputes over whether a document was actually delivered.
