What are the biggest drawbacks and pitfalls of data boxes?
Although data boxes save time and money, using them brings specific risks. As entrepreneurs, you should therefore know about them before the first important document arrives in your box.
THE FEARED DEEMED DELIVERY
The biggest pitfall is so-called deemed delivery. If an authority sends you a message and you do not log in to your box, after 10 days the message is considered delivered. The legal effects arise even if you were unaware of the message. This can lead to missing deadlines for appeals, late payment of tax, or even enforcement (execution).
DELETION OF MESSAGES AFTER 90 DAYS
Many users are surprised that a data box is not an infinite archive. Both received and sent messages automatically disappear from the system after 90 days. If you do not download a message to your computer or subscribe to the Data Vault service, you will genuinely no longer be able to access older documents. This is critical especially for evidence for the tax office.
TECHNICAL LIMITATIONS AND DEPENDENCE ON THE INTERNET
- Attachment limits: The maximum message size is limited, by default to 100 MB. This can be a problem with very large project documentation.
- Permitted formats: You cannot send just any file to the box; the system accepts only predefined formats, namely PDF, DOCX, XML, JPG, etc.
- Availability: Without an internet connection and a device you cannot access your official duties; however, an equipment failure does not excuse you from meeting the statutory deadlines.
A PRIVACY RISK FOR THE SELF-EMPLOYED
If, as an entrepreneur, you do not have a separate box set up for you as an individual, some private documents (e.g. from the land registry) may start to arrive in your business box. This can be a complication if you give access to that box to, for example, your accountant or assistant.
