How can delegation be used to give an accountant or employee access to a data box?
Delegating access means that you create separate access for another person, for whom you precisely define the limits of what they may do with your data box (only read, or also send messages?).
THE DIFFERENCE BETWEEN AN ADMINISTRATOR AND AN AUTHORISED PERSON
The system has a clear hierarchy that protects the box owner:
- Administrator (a person with the right to set up access): Has full control, sees everything and can add further users. For companies this is typically their managing director (jednatel).
- Authorised person: Has access only to what the administrator allows. This can be an accountant, assistant or lawyer. Each has their own login details.
HOW TO SET PERMISSIONS IN THE PORTAL?
- In the Settings section, select the Users item and click New user.
- You enter the details of the person (name, date of birth, residence).
- Tick the specific rights; you can allow only reading messages, or also sending them. You can also restrict access to certain types of message only.
| ℹ️ Practical tip: The authorised person can log in to your data box with their own Bank iD as well. Once you grant them rights to your box in the system, after logging in to their private account they will also see your company's box in the menu. |
THE SECURITY OF DELEGATING DATA BOX ACCESS
Delegation is much safer than sharing a single password. What is more, in the access history you will see exactly who logged in to the box and which message they read in it or sent from it. And if you should end your cooperation with the person in the future, you simply cancel their access in the settings with a single click, without having to change your own password to the data box or anything else.
