I have the consent to the registered office location from you — what happens next?

If you are self-employed (OSVČ), the consent needs to be delivered to the Trade Licensing Office (živnostenský úřad), which will register the registered office. In the case of a company, the new registered office is usually registered by a notary. If it concerns a change to an existing company, the change can also be made by an entry in the Commercial Register (obchodní rejstřík). How long is the consent to the registered office location valid?

The consent is usually valid for 2 to 3 months (depending on the date of signature). You will find the exact date directly on the certification clause, which is placed on the document below the signature.

Yes, but it must first undergo electronic conversion. This service is provided primarily by CzechPOINT; for a surcharge of CZK 150 excluding VAT, we can arrange the conversion of the document with our notary.

We inform customers by e-mail about all incoming mail. With the START tariff, you can have mail scanned, forwarded or collected on a one-off basis for CZK 150. We do not accept recorded-delivery letters (addressee only) or parcels; in these cases we send you an e-mail with the notice to collect the item from the post office, which you can use to have the item forwarded.

What happens when the agreed period ends?

About a month before the end of the paid period, we automatically send an invoice for renewal. If you are interested, simply pay it and you are all set. If you do not wish to continue, you need to let us know and, above all, change the registered office of your business/company, so that the registered office is not used without authorisation.

Can I terminate the registered office early?

Yes, you can change your registered office at any time; however, we do not refund the proportional part of the payment for the remaining months until the end of the period.

For the self-employed (OSVČ):

Cancelling the trade licence: Fully cancelling the trade licence is necessary to end the service. Merely suspending the trade licence is not sufficient, because the service continues to be provided.
    Change of registered office: Changing the registered office to another address automatically ends the service.

For an s.r.o.:

Company liquidation and removal from the Commercial Register: To end the service, the company must be liquidated and removed from the Commercial Register (obchodní rejstřík).

How does your company formation process work?

We handle everything on the basis of powers of attorney. Once we receive the necessary details, we will send you an invoice and the powers of attorney to sign. After payment, you simply deliver the documents with officially certified signatures to our address at Londýnská 730/59, 120 00 Prague 2, and we take care of everything else.

How long does company formation take?

Accepted Answer

The average formation time is 2–5 working days. Once we receive the signed documents, we immediately book an appointment with our partner notary's office. We then open a bank account for depositing the share capital. After the deposit is made, the company is usually entered in the Commercial Register the following day and ready to do business.

How is the share capital paid up?

Accepted Answer

With price-list options A and B, the share capital is included in the formation price and we pay it up. If you are interested in higher capital, we will open a bank account and you must deposit the funds yourself.

How are my funds protected?

Accepted Answer

The account for paying up the share capital is a special type of account used only for this purpose. Once the deposit is made, the funds are frozen until the company is entered in the Commercial Register (obchodní rejstřík). After registration, only the company's managing director (jednatel) can withdraw the funds from the account.

I need a company with higher capital, but I currently have no funds.

We will be happy to set up a company with higher capital for you, including its deposit. In that case, however, the process takes about a month, because the company is first formed on us and then transferred. In addition to the formation price, we charge a court fee of CZK 2,000 for the transfer.

What do you need from me to set up a company?

To prepare the powers of attorney, we need basic information about the company structure — that is, the number of managing directors and shareholders, the amount of share capital, the distribution of ownership interests, and the chosen trades.

At the bank we only open an account for paying up the share capital. Once the company is entered in the Commercial Register (obchodní rejstřík) and the capital is withdrawn, this account is closed and you can open a business account with any bank you wish.

If you have permanent residence in the Czech Republic, nothing changes. If any of the managing directors or shareholders does not hold Czech citizenship or permanent residence, they must provide an extract from the criminal records register in their home country with superlegalisation (apostille) — this is issued by the embassy. In this case the bank will also require a security questionnaire to be completed, so the formation process may take a few working days longer.

What is a €100 company?

Accepted Answer

EUR 100 – ideal for a one-person business where the client does not plan to take on additional shareholders (společníci) in the future. The founder's deed (zakladatelská listina) contains only the basic company details required by law. It is not possible to include any provisions beyond the mandatory minimum, such as share certificates (kmenové listy), special ownership interests (interests with voting rights only, with a profit share only, etc.), a quorum for adopting general meeting (valná hromada) resolutions other than that set by law, restrictions on managing directors (jednatelé) when acting externally subject to prior approval of the general meeting for certain acts, managing directors as a collective body, a legal entity as managing director, exclusion of the inheritance of an ownership interest, pre-emption rights of shareholders on the transfer of an interest, or a social enterprise.

A problem may arise where the company has several shareholders who wish to amend the memorandum of association (společenská smlouva); in this case a general meeting cannot be held (amending the memorandum of association falls within the powers of the general meeting only if the founder's deed so provides) and an agreement of all shareholders must be drawn up.

A practical example – clients with a €100 company want to replace a managing director and change the registered office. We have no choice but to draw up 2 notarial deeds (notářské zápisy): with the first we record the general meeting, which decides on the change of managing director, and with the second the agreement of the shareholders, which decides on the amendment of the founder's deed. (If the company has a single shareholder, we always draw up a decision of the sole shareholder and there is no such restriction.)

Clients therefore save on the company formation, but the subsequent corporate changes are likely to cost them more in the future.

Memorandum of association of an s.r.o.

The memorandum of association (společenská smlouva) is the fundamental document that defines the relationships between shareholders (společníci) and governs the operation of a limited liability company (s.r.o.). Question 31

Insolvency – what it is and what the options are

Insolvency is a situation where a person or company does not have sufficient funds to meet its obligations towards creditors and is therefore unable to satisfy their demands. There are two types of insolvency: bankruptcy (úpadek) and winding-up (zkrachování). In the case of bankruptcy, the outstanding claims are distributed among the creditors in order of priority, whereas in the case of winding-up the insolvent person or company is removed from the Commercial Register (obchodní rejstřík) and all its obligations are cancelled.

Duration of insolvency

The duration of insolvency can vary depending on the situation and the type of insolvency. Generally speaking, bankruptcy proceedings last between 6 and 12 months, whereas a winding-up lasts between 12 and 18 months.

Conditions under which insolvency can be terminated
Insolvency can be terminated if the following conditions are met:

Agreement with creditors – the insolvent person or company must reach an agreement with the creditors and draw up a plan to meet the obligations.
Meeting the obligations – the insolvent person or company must meet its obligations according to the agreed plan.
Court approval – once all obligations have been met, the insolvency must be approved by the court.

Insolvency does not necessarily mean the end for a person or company. If steps to resolve it are taken in time, it can be approved and the person or company can continue in business.

What is a trade licence for the self-employed (OSVČ)?

In the Czech Republic, starting a business requires completing a number of formalities and acts, and communicating with the relevant state authorities. In particular, this means obtaining a trade licence. This is then followed by registering for social security and health insurance and, of course, registering for income tax.

WHERE CAN YOU OBTAIN A TRADE LICENCE?

Setting up a trade works by notifying the authorities of your intention to start a business, providing evidence of the necessary qualifications and a place of business, and the Trade Licensing Office (živnostenský úřad) will assign you a so-called trade licence (formerly also known as a živnostenský list) and, of course, a Company ID (IČO).

You will no longer receive the licence (the certificate) in paper form. If you ever need to prove it to clients (some types of trade must meet specific conditions), you can print an extract from the Trade Licensing Register (živnostenský rejstřík) online. You can obtain a certified version at a CzechPOINT.

IMPORTANT CONDITIONS FOR OBTAINING A TRADE LICENCE

The general conditions for obtaining a trade licence are, in particular, (full) legal capacity, integrity (a clean criminal record) and professional competence (where required by law). In addition, no bankruptcy must have been declared against the person within a certain period and no ban on carrying out the trade must have been imposed on them.

Besides this, there are further conditions, including, for example, that the person seeking the licence has not had a licence revoked within the previous 3 years, or that during the same period no insolvency ruling has been dismissed due to insufficient assets to cover the costs of those proceedings.

OBTAINING A LICENCE WITHOUT THE REQUIRED COMPETENCE

To carry out a craft trade, you must prove the required professional competence, namely by an apprenticeship certificate, school-leaving certificate, university diploma or a document recognising professional qualifications. However, the law does provide a way to make up for a lack of competence.

Specifically, this is possible through a responsible representative. This is a person who meets the competence requirements for the given type of trade and is responsible for running the trade and for compliance with the regulations.

A data box (datová schránka) is a state-guaranteed electronic tool used for official communication. Think of it as a "digital recorded-delivery letter". It replaces trips to the post office with a blue-striped slip and ensures that your messages to the authorities (and theirs to you) arrive immediately and with clear proof of delivery.

WHO IS REQUIRED TO HAVE A DATA BOX?

Since 2023, the state automatically sets up data boxes for all entities that have been assigned a Company ID (IČO) (in practice, all entities the state records as economically active). It is therefore mandatory for:

Legal entities: Companies (s.r.o., a.s.), foundations and unit-owner associations (SVJ)
    Self-employed individuals (OSVČ): Anyone who holds a trade licence
    Liberal professions: Doctors, lawyers, tax advisers, experts and interpreters
    Public authorities: Offices, courts, the police and municipalities

ℹ️ Status in 2026: Digital communication is now the standard and it is practically impossible for entrepreneurs to communicate with the social security administration or health insurers in any way other than electronically. Paper forms are simply a thing of the past in these cases.

WHAT HAPPENS IF AN ENTREPRENEUR HAS A DATA BOX BUT DOES NOT USE IT?

Ignoring your data box is today the most common cause of unnecessary problems for entrepreneurs. Even if you do not log in to the box, the following rules apply:

The box is active even without you: It is activated automatically on the 15th day after the login details are delivered by post (or on your first login).
    Deemed delivery: A message sent by an authority is considered delivered 10 days after it is placed in the box. It does not matter whether you have opened it – the deadlines run from that moment!
    Fines for the form of submission: If you are required to have a data box, you must, for example, file your tax return electronically. The tax office will automatically impose a fine for a paper submission!

Worth remembering: Not using your data box really does not protect you from the authorities in any way; it only deprives you of control over your business.

What is the difference between a data box for an individual, a self-employed person and a company?

OVERVIEW OF THE TYPES OF DATA BOX

Data box of an individual – non-business: For them it is voluntary; it is used for handling private matters, such as applying for a benefit, renewing a driving licence or communicating with the municipality.
    Data box of a self-employed individual – OSVČ: It is mandatory for every self-employed person. It is used exclusively for communication relating to your business (taxes, insurance, etc.).

CAN I HAVE SEVERAL BOXES AT ONCE?

Yes, and for entrepreneurs it is even the usual situation. If you are self-employed (OSVČ) and also set up a box as a private individual, you will have two separate box IDs. However, you can log in to both under a single Citizen Identity (Identita občana) (e.g. via Bank iD), where you then simply switch in the menu to the box you want to work in.

WHY IS IT IMPORTANT TO SEPARATE PRIVATE AND BUSINESS MATTERS?

The state delivers documents where they belong. For example:

A speeding fine incurred in a private car should arrive in your data box as an individual (if you have one).
    A request from the tax office regarding your VAT will always arrive in the box of the entrepreneur (OSVČ).

⚠️ Note: if you send a submission from the wrong box (for example a tax return from your private data box), the authority may consider it defective, because it was not made in the given statutory role. When sending, therefore, always check which box you are sending the message from.

If, as a self-employed person, you do not have a separate box set up as a non-business individual, the authorities will continue to send you private documents (e.g. from the land registry) on paper by post or to your OSVČ box (if the law allows it in the given matter).     Applications, grants and registers: Submitting grant applications, communicating with the land registry (tracking changes), arranging parking permits, communicating with the building authority, and so on.

CONSIDERABLE SAVINGS OF TIME AND MONEY

The main advantage is that you do not have to keep to office hours. A submission made at 23:59 on the deadline day is considered on time. You also save on postage, envelopes and printing paper – communication with the state is, as we already know, entirely free of charge. What is more, via a data box you can also communicate with your municipality, for example when dealing with local fees for a dog or waste collection. WAYS TO SET UP A BOX

Online via Citizen Identity (Identita občana): The easiest route. If you have Bank iD, an electronic ID card (eObčanka) or the eGovernment Mobile Key, you log in on this website and set it up in a few clicks.
    In person at a Czech POINT: Visit any post office or authority with your ID document, request its setup and you will immediately receive the login details (printed or by e-mail).
    Automatically by law: In 2026, the state already sets up a data box automatically for all new self-employed persons and legal entities immediately after they are entered in the relevant register.

FIRST LOGIN STEP BY STEP

The first login is a key moment, because it is how you officially confirm that you are aware of the box (unless this has already happened through the automatic time limit).

    Choose a login method – we recommend Citizen Identity (the most secure option, and you do not have to remember any further passwords).

If you log in using the name and password from the letter, the system will prompt you to change the password immediately on first entry. It must be strong and its validity is 90 days by default, which can be changed in the settings to unlimited – which we recommend for less active users.

RELATIONSHIP TO CITIZEN IDENTITY

Citizen Identity, for example your Bank iD, works as a universal key. You no longer have to keep track of a piece of paper with the generated password for your data box. As soon as you log in via bank identity, the system recognises who you are and offers you access to all your boxes – both private and business.

⚠️ Important: With your first login, your data box automatically becomes active for receiving messages. But if you do not log in at all to a box set up by law, 15 days after the login details are delivered it activates itself anyway!

What are the biggest drawbacks and pitfalls of data boxes?

Although data boxes save time and money, using them brings specific risks. As entrepreneurs, you should therefore know about them before the first important document arrives in your box.

THE FEARED DEEMED DELIVERY

The biggest pitfall is so-called deemed delivery. If an authority sends you a message and you do not log in to your box, after 10 days the message is considered delivered. The legal effects arise even if you were unaware of the message. This can lead to missing deadlines for appeals, late payment of tax, or even enforcement (execution).

DELETION OF MESSAGES AFTER 90 DAYS

Many users are surprised that a data box is not an infinite archive. Both received and sent messages automatically disappear from the system after 90 days. If you do not download a message to your computer or subscribe to the Data Vault service, you will genuinely no longer be able to access older documents. This is critical especially for evidence for the tax office.

TECHNICAL LIMITATIONS AND DEPENDENCE ON THE INTERNET

Attachment limits: The maximum message size is limited, by default to 100 MB. This can be a problem with very large project documentation.
    Permitted formats: You cannot send just any file to the box; the system accepts only predefined formats, namely PDF, DOCX, XML, JPG, etc.
    Availability: Without an internet connection and a device you cannot access your official duties; however, an equipment failure does not excuse you from meeting the statutory deadlines.

    Data Vault: Archiving messages directly in the data box system beyond the standard 90 days is a paid service. Prices differ according to the number of messages you want to keep permanently.
    SMS alerts: If you require notification of a new message by SMS as well, expect a fee (in 2026, roughly CZK 3 per message).

✅ Tip for saving money: If you regularly download your data box messages to your PC or accounting software, you do not have to spend money on the paid Data Vault. You can also save by using free e-mail notifications instead of paid SMS messages.

In the digital world of data boxes, a message is delivered either by your logging in or by the expiry of the statutory time limit. The latter is so-called deemed delivery.

HOW DOES THE 10-DAY LIMIT WORK WITH DATA BOXES?

If an authority sends you a document and you do not log in to your data box, the message is considered delivered on the 10th day after it is delivered to the box. It makes no difference whether you knew about it or whether your computer was broken at the time. From the tenth day, all the deadlines then start to run – for example, for paying tax, filing an appeal, or attending to give an explanation, and so on.

THE MAIN RISKS OF DEEMED DELIVERY FOR ENTREPRENEURS

Missing an appeal: If a payment assessment arrives and you read it only a month later, the chance to defend yourself is probably irretrievably gone.
Enforcement and fines: Deemed delivery allows courts to issue payment orders that become final and binding without you knowing about them (which can lead to an unexpected freezing of your account).
Loss of control: The authority has fulfilled its duty to deliver the information, and the rest of the responsibility then lies entirely with you.

HOW TO EFFECTIVELY "DEFEND" AGAINST DEEMED DELIVERY?

Set up notifications: Rather than waiting until you remember to check the box, have an e-mail alert sent to you about every new message in the box (this service is free).
Check the box once a week: Even if a notification fails, a regular check, for example once every 7 days, gives you the certainty that you will genuinely never miss a 10-day limit.
Delegate access: If you are going away on holiday, authorise access for your accountant or another reliable person who will take care of checking your data box.

⚠️ Important: Courts and authorities really do only very rarely accept technical problems or, say, the holiday mentioned above as grounds for the invalidity of deemed delivery of a message to your data box. Digital responsibility is genuinely taken just as seriously as physical responsibility.

How do I set up data box notifications so that I miss nothing?

The data box system will not alert you to a new message on its own unless you tell it how through the notification settings – specifically, you have a choice of two main methods.

GENERAL PROCEDURE FOR SETTING UP NOTIFICATIONS IN THE PORTAL

Log in to your data box on the portal mojedatovaschranka.cz.
In the top right menu, click the cog wheel ~ Settings.
Then select the Notifications item in the left-hand panel.
Choose the type (E-mail/SMS) and confirm with the Save button.

E-MAIL ALERTS – RECOMMENDED

This service is entirely free and perfectly sufficient for most entrepreneurs. As soon as a message arrives in the box, the system sends you an e-mail.

Advantage: It is free and you will also find the message in your e-mail inbox (on both mobile and PC).
Setup: After logging in to the box, go to Settings → Notifications → E-mail notification settings and enter your address there.

✅ Practical tip: In the e-mail notification settings we recommend also enabling the sending of information about the sender and subject. You will then immediately see whether "the tax office" or "the land registry" is writing to you, and can prioritise your login accordingly.

SMS NOTIFICATIONS – A PAID SERVICE

If you are not often on e-mail, you can activate the sending of SMS messages. In 2026 this service costs roughly CZK 3 per SMS and requires topping up credit in the so-called Client Account.

Advantage: SMS notifications give the user certainty of delivery, even without the internet.

WHAT IS AN IDDS AND WHAT DOES IT LOOK LIKE?

A data box ID (IDDS) is a unique seven-character code made up of a combination of lower-case letters and numbers, e.g. eb6afv2. It is essentially a digital address. Even though the term (IDDS) is not that widespread among the public, you will see it at every step in the portal – it is the most important detail for correct delivery of a message.

HOW TO FIND AUTHORITIES, INSURERS AND COMPANIES?

Directly in the portal mojedatovaschranka.cz (in the Compose message section) or on the public website seznam.gov.cz you can search for recipients by:

Name of the entity: For example, you enter "Všeobecná zdravotní pojišťovna".
Company ID (IČO): The most reliable route for companies and the self-employed.
Address: If you know the registered office of the company or authority.

⚠️ The identifiers of large institutions (insurers or ministries) are often also traceable in the contacts on their websites. But if you are sending a submission to the tax office, the portal will itself offer you the correct registry office according to your registered office or residence, which reduces the risk of error.

WORKING WITH THE LIST OF DATA BOX HOLDERS

The List of Data Box Holders is a publicly accessible register. If you know that a given person or company is in business, you can check here whether they have an active box. This is important when you want to send a Postal Data Message, which is a commercial message instead of a paper letter – if the recipient does not allow the receipt of such messages, the system will alert you to this when searching.

Just be aware that in the List of Data Box Holders you will find only individuals and self-employed individuals who have given consent to being displayed (requested publication) in this list, and all legal entities and public authorities that have a data box set up and made accessible.

How do I send a message via a data box, and can I also send it to a company or a self-employed person?

Finding the recipient: After logging in, choose "Compose message" and search for the recipient by name, Company ID (IČO) or IDDS (data box identifier).
Subject and attachments: Fill in a relevant subject, and insert documents (contracts, invoices) as attachments, ideally in PDF format, which is the safest for official communication.
Sending the message: After clicking "Send", the system generates a Delivery Receipt, which is your indisputable proof of what you sent, to whom and when.

COMMUNICATION WITH OTHER ENTREPRENEURS (COMPANIES AND THE SELF-EMPLOYED)

Yes, via a data box you can also communicate with suppliers, clients or competitors. This function is called a Postal Data Message (PDZ).

Contractual relationships: Via a data box you can legally send contract terminations, reminders or acknowledgements of debt. You have proof that the message was delivered to the recipient's sphere of influence.
Delivery condition: For a company or self-employed person to receive your message, they must have enabled the receipt of "Postal Data Messages" in their settings. In 2026, most companies have this function active, because it saves the cost of couriers and post.

ADVANTAGES OVER SENDING A MESSAGE BY E-MAIL

Unlike an e-mail, where the other party can claim it "went to spam", a data message has a clear audit trail. For contractual relationships it is the safest way to prevent future disputes over whether a document was actually delivered.

For another entrepreneur or company to be able to send you a message, you must have this function enabled.

Log in to your data box via the portal mojedatovaschranka.cz.
Go to the Settings → Box information section.
Find Receipt of Postal Data Messages and tick "Allow". Note that companies often have the function activated automatically; for the self-employed and citizens this manual step is usually required.

COMMERCIAL USE OF PDZ AND PRICING

Sending a PDZ is a paid service. Unlike an ordinary letter, however, you do not have to go to the post office and the price is significantly lower.

Price per message: The price is currently around CZK 10–20, depending on whether you buy individual messages or use more favourable bundles/subscriptions.
Payment method: You top up credit by payment card directly in your box interface or by bank transfer to your client account.
Legal weight: A PDZ has the same legal force as a recorded-delivery letter into your own hands. You have a delivery receipt with the exact time of delivery and of reading available.

✅ Practical tip: If, as a self-employed person, you activate the receipt of Postal Data Messages (PDZ), you can make communication easier for suppliers (e.g. banks or insurers), who can then send you important documents digitally instead of by paper post.

WHY USE PDZ IN BUSINESS?

The main advantage is indisputability. If you send a contract termination or a pre-action notice via PDZ, the other party cannot claim that the envelope was empty or that the letter did not arrive. The system guarantees the integrity of the content (the attachments) and the very fact of delivery to the recipient's sphere of influence.

What should I do if I lose my login details or password for my data box?

If you cannot log in, stay calm. Your box and the messages in it are safe; you just temporarily do not have the "key" to them. The recovery procedure depends on which login method you use.

RESCUE VIA CITIZEN IDENTITY – THE FASTEST ROUTE

If you use Bank iD, an electronic ID card (eObčanka) or the eGovernment Mobile Key to log in, you actually do not need any further password for the data box. Simply log in on the portal via your digital identity and the system will let you into the box. This way you avoid any paperwork or fees.

⚠️ Warning: If you enter the password incorrectly 5 times, access via name and password is blocked for security reasons. Logging in via Bank iD, however, usually remains functional.

ONLINE PASSWORD RECOVERY – SELF-SERVICE

If you know your username and, in the past, activated the option of password recovery by e-mail in the box settings, you are in luck:

On the login page, click "Forgotten your password?".
Enter your details and the system will send you a link to set a new password.

Tip: Activate this function in the settings preventively right now, while you still have access.

VISITING A CZECH POINT – THE CLASSIC ROUTE

If you have neither a digital identity nor an e-mail set up for recovery, you unfortunately have to go to a post office or an authority with the Czech POINT logo:

Bring your ID document.
Request the invalidation of the old details and the issue of new ones.
The first recovery in a calendar year is usually free; for repeated requests you may pay an administrative fee. The new details will arrive to you by e-mail promptly.

WHAT HAPPENS TO THE BOX WHILE IT IS BLOCKED?

Even if you do not have the password, your box remains active. The authorities keep delivering to it and deemed delivery keeps running. So deal with a loss of access immediately, to avoid missing an important deadline during the "dark period".

HOW MUCH DOES THE DATA VAULT COST?

You subscribe to the service in the form of credit or an annual flat fee. The price depends on the capacity (number of messages) you want to keep:

Basic bundles for smaller self-employed persons start at the lower hundreds of crowns a year.
Corporate tariffs for large volumes of messages run into thousands of crowns a year.

The advantage is that the vault is directly part of the box – you do not have to install anything or move it elsewhere.

⚠️ Note: For the purposes of a possible inspection by the tax office or a court dispute, we recommend archiving messages for at least 10 years. If you only print a message and delete the original (in .zfo format), it may be difficult to prove its authenticity in court.

OPTIONS FOR YOUR OWN BACKUP – FREE OF CHARGE

If you do not want to pay for the vault, you must back up the messages manually. You basically have three routes:

Downloading to your PC: You save the message in .zfo format (the complete message including electronic signatures) or as a PDF. Note that only the .zfo format guarantees full legal validity in the future.
Export to the Citizen Portal: If you have your box linked to the Citizen Portal (Portál občana), you can have messages archived there for free (with a certain capacity limit).
Accounting software: Modern programs (Pohoda, Money S3, etc.) allow the automatic downloading and archiving of messages directly into your accounting records.

How can delegation be used to give an accountant or employee access to a data box?

Delegating access means that you create separate access for another person, for whom you precisely define the limits of what they may do with your data box (only read, or also send messages?).

THE DIFFERENCE BETWEEN AN ADMINISTRATOR AND AN AUTHORISED PERSON

The system has a clear hierarchy that protects the box owner:

Administrator (a person with the right to set up access): Has full control, sees everything and can add further users. For companies this is typically their managing director (jednatel).
Authorised person: Has access only to what the administrator allows. This can be an accountant, assistant or lawyer. Each has their own login details.

HOW TO SET PERMISSIONS IN THE PORTAL?

In the Settings section, select the Users item and click New user.
You enter the details of the person (name, date of birth, residence).
Tick the specific rights; you can allow only reading messages, or also sending them. You can also restrict access to certain types of message only.

ℹ️ Practical tip: The authorised person can log in to your data box with their own Bank iD as well. Once you grant them rights to your box in the system, after logging in to their private account they will also see your company's box in the menu.

THE SECURITY OF DELEGATING DATA BOX ACCESS

Delegation is much safer than sharing a single password. What is more, in the access history you will see exactly who logged in to the box and which message they read in it or sent from it. And if you should end your cooperation with the person in the future, you simply cancel their access in the settings with a single click, without having to change your own password to the data box or anything else.

The Sent folder: Contains an archive of all your submissions. For each of them you can download a Delivery Receipt here at any time – a key piece of evidence for any disputes.

From digital to paper: You received a building permit decision in your data box and the bank wants it for a mortgage on paper with a "round" stamp? You must use conversion.
From paper to digital: You have a contract with certified signatures and need to send it to the court via a data box? Conversion comes into play again, turning the document into a digital original.

THE ROLE OF THE CZECH POINT IN AUTHORISED CONVERSION

You most often arrange conversion at any Czech POINT.

Into paper form: You give the staff the unique message code (from the so-called "vault" in the data box portal), they print the document and add a clause confirming that it matches the original.
Into digital form: You bring the paper, they scan it and send you the result either to your data box or to the vault.

THE VALIDITY AND PRICE OF AUTHORISED CONVERSION

For each page of conversion you pay a statutory fee (in 2026 usually CZK 30). A document converted in this way has the same legal force as the original and is recognised by all authorities, banks and courts.

MESSAGE ROUTING BY TYPE OF OFFENCE

A speed-camera fine & a private car: If a camera photographs you in a car registered to you as a private individual, the fine should primarily arrive in your data box as an individual. If you do not have one set up, a paper letter will arrive at your address (in some cases, however, the authority may also use the OSVČ box, if the law allows it).
A speed-camera fine & a company car: If the car is recorded in the vehicle register under your Company ID (IČO) (for a self-employed person) or a company (s.r.o.), the fine will arrive in your business data box.
Official summonses: If you are dealing, for example, with building permission for a family house, it is a private matter. But if you are dealing with an inspection from the tax office, it concerns business and the message will end up in the "business" box.

⚠️ Note: If a fine arrives in the wrong box (e.g. a private fine in the company data box), legally the document is still considered delivered the moment you log in to the box. It definitely does not pay to ignore the message on the grounds that it "arrived in the wrong place".

WHAT IF A PERSON ONLY HAS A DATA BOX FOR THE SELF-EMPLOYED?

This is where the most common stumbling block arises. If you have a box set up for the self-employed (OSVČ) by law, but do not have a voluntary box for an individual activated, the authorities often continue to communicate with you on private matters on paper. Paradoxically, it can then happen that you have an important tax message on your phone, but a speeding fine "haunts" you in the letterbox at your home address.

HOW TO AVOID CONFUSION?

The safest route is to have both boxes set up, that is, both the business and the private one, and to have both linked under a single Citizen Identity (Identita občana). This ensures that no summons escapes you – whether it concerns your company's taxes or forgotten parking in the city centre.

CONNECTING A DATA BOX TO ACCOUNTING AND ERP SYSTEMS

Most modern economic programs (for example Pohoda, Money S3, Abra, Vario) have a built-in module for data boxes. What do they do or offer, among other things?

Automatic downloading: At regular intervals, the program connects to the data box itself and downloads new messages directly into the "Mail" or "Documents" agenda.
Sending from the program: You send invoices, returns or statements for insurers with a single click directly from your accounting software. The program finds the recipient's IDDS itself and saves the delivery receipt.
Archiving: This elegantly solves the problem of messages being deleted after 90 days – the messages remain permanently stored directly in your database.

⚠️ Security tip: When connecting to third-party software, really never hand over your main login details (name and password). Instead, use a system certificate or create a separate user access with limited rights for the given software.

THE API INTERFACE FOR DEVELOPERS AND CUSTOM SOLUTIONS

For companies with specific needs or for software providers, there is a public API interface (the ISDS web services):

Custom integration: Developers can connect the data box to a company CRM or approval systems (DMS). A message from a court can thus automatically create a task for the legal department.
