Is the paid Data Vault, which solves the automatic deletion of messages after 90 days, worth it for you?
The standard data box setting is relentless: any message is automatically deleted from the system 90 days after delivery (either by your login or by so-called deemed delivery after 10 days). If you do not back up the message in time, you lose it irretrievably.
WHAT IS THE DATA VAULT AND HOW DOES IT WORK?
The Data Vault is an add-on service that works as a permanent digital archive. Messages remain safely stored in it even after the 90-day limit expires, in their original form including all delivery receipts, which are key for providing evidence to courts or the tax office.
HOW MUCH DOES THE DATA VAULT COST?
You subscribe to the service in the form of credit or an annual flat fee. The price depends on the capacity (number of messages) you want to keep:
- Basic bundles for smaller self-employed persons start at the lower hundreds of crowns a year.
- Corporate tariffs for large volumes of messages run into thousands of crowns a year.
The advantage is that the vault is directly part of the box – you do not have to install anything or move it elsewhere.
| ⚠️ Note: For the purposes of a possible inspection by the tax office or a court dispute, we recommend archiving messages for at least 10 years. If you only print a message and delete the original (in .zfo format), it may be difficult to prove its authenticity in court. |
OPTIONS FOR YOUR OWN BACKUP – FREE OF CHARGE
If you do not want to pay for the vault, you must back up the messages manually. You basically have three routes:
- Downloading to your PC: You save the message in .zfo format (the complete message including electronic signatures) or as a PDF. Note that only the .zfo format guarantees full legal validity in the future.
- Export to the Citizen Portal: If you have your box linked to the Citizen Portal (Portál občana), you can have messages archived there for free (with a certain capacity limit).
- Accounting software: Modern programs (Pohoda, Money S3, etc.) allow the automatic downloading and archiving of messages directly into your accounting records.
